What is saved in your account
Your account holds your business details, answers, examples, reports, optional AI explanations and feedback. You can open these records when signed in to your account. Avoid entering personal details about clients or staff, passwords or private identification numbers.
Saving your work
Your answers are saved to your account when you choose Save or Save & continue. Saved drafts and reports stay there until you delete them. They do not expire automatically during this pilot.
While you edit an assessment, management review or action plan, BuiltBeyond also tries to keep a recovery copy in this browser. This can help you recover changes you have not saved to your account. It lasts for up to seven days from your last edit and can be restored in the same browser and account.
You choose whether to restore a recovery copy. If the version saved to your account has changed, download the copy to review your edits instead. Browser storage may be blocked, cleared or unavailable, so check the recovery status shown while you edit. You still need an internet connection to open the site, sign in and save to your account.
Recovery copies on shared devices
Recovery copies stay on this device. BuiltBeyond does not encrypt them, which means it does not scramble them to prevent others from reading them. Someone who can use the same browser on this device may be able to read them. Use the recovery controls to remove or pause these copies on a shared device.
When you successfully save or delete your work, the matching recovery copy is removed from this browser. Copies in other browsers and downloaded files are separate. Expired copies are removed when BuiltBeyond next checks them.
Downloading and deleting
You can download your assessment as a data file (JSON) or print your report to PDF. Choose Delete this assessment at the bottom of an opened assessment to remove it from the site’s current records. This does not remove files you have already downloaded.
The hosting service manages its own backup copies. Deleting an assessment does not guarantee that it is immediately removed from those backups.
Your action plan and tools
A completed founder or management report can have its own tasks, business realities, progress measure, weekly check-ins and filled-in tools. These are saved to your account when you choose Save progress. They do not change your assessment results.
Business realities cover power interruptions, customer payments, supply costs, uneven sales and responsibilities when family members work in the business. Your choices give you optional practical suggestions. These challenges are not treated as proof of poor management and do not change your scores.
Putting someone’s name on a task does not notify them or give them access. Your action plan and tool entries are not sent for AI explanations or included in exports used to improve the assessment.
Download your action plan separately from your assessment report. Tool downloads contain the details you entered. Deleting an assessment also removes its action plan and tools from the site’s current records. You decide whether to share any downloaded copies.
AI is optional
If you give permission and request an AI explanation, relevant business details, supporting examples and calculated results are sent to OpenAI. The request is sent through the site’s server. It asks OpenAI not to store the response, but OpenAI’s service rules about keeping data still apply. The secret key that connects the AI service is not sent to your browser.
AI explanations may be unavailable if the connection, service access or payment setup is incomplete. Your standard results, stage checks and recommended actions still work without AI. AI can make mistakes, so check its explanation against what you know about your business.
Permission to help improve BuiltBeyond
You can choose whether your assessment information may be used to test and improve the questions and results. This permission is separate from getting your report. Information used for this purpose has details that identify you removed. No combined business comparison results are published at present.
You can withdraw this permission from a saved report and still keep the report. You can also delete the assessment.
Management reviews
A management review belongs to the person who completes it. It is not an anonymous team survey. The site does not automatically share it with your employer, founder or colleagues, or combine reviews that use the same business name.
You can choose to share a printed or downloaded copy. That copy includes the profile, answers and supporting details you entered. Avoid naming colleagues or clients, or describing private incidents. Permission to help improve BuiltBeyond is recorded separately for each review.
Team participation tracking
An organiser can create a private review group and a personal invitation link for each named member. Links are shared manually. Creating a link does not send an email or give the organiser access to anyone’s assessments.
If you open a personal invitation, sign in and agree to completion tracking, the organiser can see the name they assigned to your invitation, whether you have started or completed the linked management review, and the relevant dates. They cannot see your answers, examples, report, AI explanation, feedback, action plan or tools through this dashboard.
You choose whether to start a new review for the invitation or connect an existing review from your account. Opening a link alone does not mark a review as started. A review counts as started when you save and connect it, and completed when its report is saved. Reviews taken through the general link are not connected automatically, even if the business names match.
You can stop sharing from the invitation panel on your linked review. The organiser will then see that sharing stopped, without your review dates or further progress. Deleting a linked review removes its completion status; deleting a review group or revoking an invitation does not delete your private assessment. The organiser’s invitation name remains until they delete the group. Personal links are intended only for the named person; the first account that accepts a link claims it.
Previous reports
Earlier reports keep the assessment method used when they were created. You can still open them through Previous reports. Their scores are not changed into BuiltBeyond scores. Assessing your business again creates a new report and keeps the earlier one.
